August 28, 2003 CareWorks partners with Intellinetics to strengthen medical management processing

IntellivueTM v6 significantly improves workflow for Ohio’s largest workers’ compensation managed care organization (MCO).

(Dublin, Ohio) -- To further strengthen their industry-leading workers’ compensation medical management services, CareWorks partnered with IntellineticsTM, Inc. to implement a new state-of-the-art document imaging software solution earlier this year.

“We were faced with the challenge of replacing our traditional workflow based document imaging system which “pushed” documents to users, with a more innovative query-based workflow system. Working closely together, CareWorks and Intellinetics created a customized solution that has exceeded even the most unique needs of our operation and our associates,” said Robert Jennings, CareWorks’ Director of Information Systems.

During an intensive three-month requirement gathering and business process evaluation, Intellinetics verified their ability to develop a configuration of their system based on the needs of CareWorks’ and their associates. Intellinetics and CareWorks information systems worked side by side to ensure the successful creation of a sophisticated, yet flexible document management solution.

By listening to the needs and ideas of CareWorks associates upfront, the partnership built a tailored version of Intellivue v6 that included all of the following basic requirements:

Storing and viewing data at both folder and document levels. Accessing more than 14 million images at high-speed. Inputting an unusually high volume of images and data (over 9GB per month). Integrating with fax servers and other main-line business applications and databases. Simplistic indexing and labeling of incoming documents. Query-based workflow model that followed business processes. Interfacing with an existing case management system to ensure data consistency. Providing flexible tools for customized queries and in-house reporting.

Intellinetics’ primary challenge was replacing the existing “push” workflow imaging system with a far more innovative query-based system. The query-based system provides the stability CareWorks’ daily operation needs, while delivering sub-second access to millions of images and data.

During implementation, Intellinetics converted more than 380GB of electronic images and data, created interfaces with CareWorks’ existing case management system to facilitate auto-indexing and automatic record updates, as well as developed several CareWorks specific features – all of which are now a part of the base platform

One of the most compelling of these CareWorks specific features was Queue Manager, an enhancement that allows multiple users to pull work from the same input queue, while maintaining data integrity and security during the indexing process.

Results The successful partnership between CareWorks and Intellinetics has produced a document imaging system that has made an immediate impact in a number of operational and process functions by:

Eliminating the inefficient routing of hard-copy documents. Organizing documents in an easy-to-find manner. Allowing for meaningful, descriptive labeling at the document level. Decreasing turn-around time on time-sensitive documents. Providing a stable and scalable platform for current operations. Presenting the opportunity for future system modifications and enhancements.
